
Dover College were using an old Avaya telephone system at the school, with over 60 handsets in place. The Network Manager found it difficult to access and programme the system for new and existing staff members.


Dover College chose Workflow to be their telecommunications partner. Workflow provided a consultative approach, which enabled Workflow to understand Dover College’s requirements. Workflow supplied and installed the Mitel 400 hybrid hosted system, delivering a streamlined solution, using the latest technology from their partner Mitel. After providing an analysis and quote revisions, Dover College were able to reduce the number of handsets, resulting in cost savings for the school. The cloud mobile and desktop application enables staff members the ability to use their telephones from any location e.g., home working. This is an efficiency gain that many schools are implementing as it provides staff with flexible working opportunities. Workflow provided Dover College with the appropriate basic training to enable in house programming for the Mitel 400 hybrid hosted system. This is something that Dover College found difficult with the Avaya telephone system.

Workflow provided a training video for our staff members to learn how to use the handsets. The idea of the training video is valuable for staff members, the Bursar liked the idea of having the video available to everyone. Staff are normally slightly confused about how they use new equipment; this video is a great way to have something for them to watch rather than sending readable material.
The process of meeting with Workflow and receiving the quotes was very clear, we made several amendments to it throughout the purchasing process, this process was both quick and collaborative. It is exactly what we asked for.
Before communicating with Workflow I had worked with a company for 8 years that I know well and trust, they also quoted on this opportunity. However, Workflow’s solution was better. It was comforting to work with a company that had been established for 20+ years.
Part of the reasoning behind switching to Workflow were:
1. The Headmaster had previously used Mitel and liked it.
2. Workflow’s presentation of the quote and phones was far better than the other companies we had quote. We had presentations from some of the other companies, but they were not as good and not exactly what we asked for.
The new phone technology is easy to understand. Some of the staff are already getting used to phones and understanding the features and how they work. We are happy that the 6920 phones have been treated with an antimicrobial compound.
We decided to go with the mobile and PC applications to give the staff members greater flexibility in being contactable out of hours and within and around the site.
